Business Support Specialist (Full or Part Time, Hybrid Remote)

We are looking for a business support specialist to join our business management team in our San Francisco Bay Area office (Los Gatos, Santa Clara County). The business management team provides accounting, finance, administrative, marketing, Geographic Information Systems, health and safety, and IT support to the company’s ecologists and landscape designers and architect consultants in pursuit of our company’s mission to create ecologically sound solutions to our clients’ complex natural resources challenges. 

What you’ll do

This role is a critical part of the business management group and entails providing administrative and operations assistance to the senior support team leader who manages the Los Gatos office and the firm’s administrative team. Your role has three key aspects: providing administrative support to business processes (primary); helping with facilities management; and assisting with office meetings and events. While a majority of this position requires work in an office, only a portion of the tasks involve computer work at a desk. Many of our tasks are “behind the scenes” ensuring things run smoothly for the colleagues we support―some are routine and others we address as they arise. For candidates interested in employee health and safety initiatives, there may be the potential to grow duties to include work with the company’s health and safety coordinator. This is a non-exempt position that will be conducted during standard business hours Monday through Friday. If part-time, a minimum of 20 hours per week is required. Ideal qualifications

The most important qualities we look for in our administrative team is a drive to see something through to efficient completion and taking pride in a job done well―whether a small task or a larger project. In addition to candidates with prior office experience, we are open to applicants from a range of backgrounds such as customer or client facing roles and/or those who have had training in processes and procedures that require attention to detail. Examples include health care administration, customer support, and hospitality and food service. Candidates with military backgrounds and people returning to the workforce after time off who have the competencies and aptitudes described below are also strongly encouraged to apply. 

Experience, aptitudes, and competencies

  • At least 2 years of prior work experience, but (many) more are welcome! 
  • Self-driven and self-motivated to do a good job 
  • Focus on getting information needed to complete a process or project
  • Keen eye for detail 
  • Ability to follow guidelines and procedures thoroughly and consistently
  • Fast learner 
  • Strong organizational skills
  • Effective problem solver
  • Comfortable working with computers
  • A valid clean California driver’s license
  • A service-oriented approach

Any of the following would be a great plus

  • Bachelor’s degree from an accredited institution
  • Previous experience using Microsoft Suite of office products
  • Interest in and awareness of the natural world and science
